Exam rooms in Aleksandria will be closed

The Coronavirus Management Team has declared a state of emergency at the University of Helsinki. The University recommends the students to study at home and to avoid using shared study facilities at the University. The Aleksandria Learning Centre will be closed at least until 31st of May, including the exams in electronic exam rooms (Examinarium). All exam bookings to Aleksandria are cancelled starting 16th of March.   

For now the Exam facilities in other campuses are still open. If you have symptoms of the flu, reschedule your exam to a later date. Students taking an exam are allowed to bring a disinfectant swipe or similar in the exam room and wipe the keyboard and mouse of the exam machine before using them.  

Exams that require use of Finlex data bank can be taken in Accessible exam room in Porthania. 

Examinarium and prevention of the spread of viruses

Wearing a protective face mask is required on University premises, unless there are no other people present.  This covers also EXAMINARIUM exams. You can use your own mask and, if necessary, you can pick up a disposable mask from the janitor.

It is allowed to bring a disinfectant cloth or similar in the exam room and wipe the keyboard and mouse of the exam machine before the exam. Put the cloth in the trash before taking the exam.

If you have symptoms of the flu, move the exam time forward and, if necessary, ask the examiners to extend the exam period.

Exam visit deployment

We joined the exam visit pilot project on 9 March 2020 and have enabled exam visits for Examinarium examinations at the University of Helsinki.

This means that

  • Students can take Examinarium examinations of the University of Helsinki in the examination facilities of other universities. (Special examination requirements may restrict exam visit opportunities and optional topics are not available in exam visits.) For additional information, see instructions for students going on a exam visit.
  • Computers 1–6 in Aleksandria’s 4th floor examination facility can also be booked by students from other universities. Instructions for students coming in for an exam visit from other universities.
  • In order to harmonise practices, the booking period of the examination facility booking calendar is shortened to 30 days.
  • We also started using the HAKA login in Examinarium. When logging in to Examinarium, all users first select their own organisation from a drop-down menu.
  • Examination answers given elsewhere are displayed in the same way to examiners as those given in the University’s own examination facilities. If the examination has software requirements (e.g., Finlex or a drawing tablet), it is not possible to take the examination in another university’s facilities. Consequently, any software requirements should be included in the examination’s basic information. Instructions for examiners.
  • We will collect user experiences during the pilot project and develop practices related to exam visits. We are looking forward to receiving feedback on exam visits from both examiners and students.

 

Summer 2019

During the summer all exam rooms in Helsinki are open from Monday to Friday (except on midweek holidays) with shortened opening hours.

Exam room in Lahden is closed from 24th June until 4th August and Exam room in Mikkeli from 15th July until 28th July.

University of Helsinki is not yet participating in the “Exam visit” -pilot, where students can take their own university’s exam in another university’s Exam room. Therefore don’t reserve an exam room from an external institution. Use the exam rooms listed above.

Tips and News for Examinarium-examiners:

1. Rules for exams in electronic exam rooms (Examinarium) has been updated. Please note these changes:

  • Students are now allowed to bring a drinking water bottle to the exam room. The bottle needs to be transparent and contain no labels or writing.
  • Students must inform the examiner at least 10 days before their intended exam day if he/she wants to have questions in a another language than the teaching. For more information, go to see questions 5 and 6.
  • If you want to publish the list of grades for the students, you can gather the grades from the Study attainments -page (instructions under the title “After assessment”). Recommended times for publishing the list of grades are at the end of the exam period or at the end of term. Please note that the answers and grades are stored in Examinarium for 12 months.

3. Upcoming changes before the end of 2018:

  • The following programs are going to be installed to the exam computers in Kumpula: Geogebra, Matlab, MarvinSketch and Origin2018. If you have / are planning to have exams in Examinarium, where any of these programs are not allowed to be used please contact edutech@helsinki.fi
  • Exam services in the Center Campus and in Kumpula-Viikki Campus will also support teachers in issues related to Examinarium. More information coming later.
  • Login page in Examinarium will change, when Haka user authentication system is taken in use. More detailed information will be updated to these web pages.

Things to remember:

  • The student’s exam responses and grading information are stored in Examinarium for 12 months.
  • The assessment is not ready until the assessment is locked. When assessment is locked, the student will receive an email about the grading, and the grades marked as partial course grades will be sent automatically for registration.

User survey for students

The EXAM consortium carries out a user survey simultaneously in all the 27 member universities 2.5. – 20.5.2018.  Responding to the survey takes about five minutes. It is very important to have your feedback to develop the EXAM system and the electronic exam practice in your own university and in the EXAM consortium as well. (EXAM is called Examinarium at the University of Helsinki)

If you leave your contact information at the end of the survey, you will participate in the lottery of a hundred euro gift token to the online shop Verkkokauppa.com. The lottery winner will be published on the www-pages of EXAM-consortium (http://www.e-exam.org). The winner will be contacted personally by the end of May.

The personal data collected for the lottery will be used only for this purpose and they will not be connected to the answers of the survey.

1. Respond to a national user survey

The EXAM consortium carries out a user survey simultaneously in all the 27 member universities 2.5. – 20.5.2018, intended for both teachers and students.  Responding to the survey takes about five minutes. It is very important to have your feedback to develop the EXAM system and the electronic exam practice in your own university and in the EXAM consortium as well.

In this year’s survey, we wish feedback especially on the new user interface of EXAM (Examinarium, in the University of Helsinki). 2. The exam room in Kumpula moves in May

Kumpula library is under renovations starting from 18 May and the exam room in the library moves to Chemicum. There will be approximately a week-long break in exams in Kumpula due to this change. During the break, students can use the exam rooms on other campuses, excluding students taking the paper exams of the Faculty of Science.

3. Summer exams

Students are free to take exams throughout the summer in Aleksandria, Viikki, Lahti and Mikkeli, although the opening hours will be shorter. In Kumpula, the new exam room will be open according to the opening hours of the building. During the summer, the assessing time of the exams will be longer but please notice that the camera recordings are available for only a month after the exam.

4. Maintenance breaks

There is a scheduled morning maintenance break in Examinarium on the first Monday of every month. The next maintenance break will be on 7 May, and on next morning on 8 May, there will also be an update in the system from 7.30 to 9.30 AM, causing a break in the use of Examinarium. The update will fix the problem of exam computers slowing down during long, 3-hour exams.

During maintenance breaks in Oodi, the actions in Examinarium where the information comes directly from Oodi are unavailable. This applies to reserving exam times and creating new exams for courses that have no previous exams in Examinarium.

Examinarium is updated

For the students the new features include an updated user interface and a notification email 24h before the exam. In order to change your reservation, select the icon with three dots from the “Locked exams page.”

If when booking a new exam time the system tells you that “You have used all your attempts to pass this exam”, please contact the examiner. You have probably either aborted your previous exam attempt or did not use the exam time you booked. The examiner has to release an attempt for you before you can book a new exam time. If you have already taken the same exam and submitted your answer for grading, please wait for the examiner to grade your exam.
