Costs

FOR ALL
There is no registration fee. We will provide bus transportation from Helsinki central railway station via Helsinki-Vantaa (HKI) airport on 5 and 7 August, and back to Helsinki on 7 and 11 August. Excursion, saunas and the meeting dinner costs are also on us for all participants.

LOCAL COSTS
Local accommodation costs and meals at the Lammi Biological station are covered by the Nordic – Russian Boreal Biodiversity and Data Education Network for undergraduate students, and by ForBio for the ForBio members. Anyone that is a PhD student or postdoc in biosystematics and related fields from Finland, Sweden, Norway, Denmark and Iceland can apply for membership. In addition  invited speakers and teachers of the Dead Wood Course are also covered for these expenses.

TRAVEL COSTS
Master or PhD students from Nordic universities are entitled for travel grants of max 200 euros, claimed after the trip against the tickets and boarding passes, see below*. ForBio members based in Norway can claim their travel costs after the meeting from ForBio. Participants from Russia will be contacted by the DWM 2016 team with the information on visas and travel arrangements after the registration is closed. We welcome and encourage participants from all countries, but due to the funding rules we won’t be able to support their participation financially. We will also cover travel costs for the invited speakers and teachers, see below*.

2016 prices, incl VAT:

  • accommodation, double room:  29-40 €/person/night
  • accommodation, single: 43-60 €/person/night
  • meals: 29 €/person/day

INSURANCE
DWM 2016 does not accept liability for individual medical, travel or personal insurance, and participants are strongly advised to take out their own personal insurance policies in their country of origin.

To undergraduate students from Finland, Sweden, Norway, Denmark or Iceland, to teachers, and to invited speakers:

In principle, we follow pay & claim schema. Personnel of the University of Helsinki is encouraged to make a SAP travel plan / report, using wbs 4720861 / H5733.

You can only claim the travel costs after the meeting is finished. Because of the close reporting deadline you have to claim the costs by 15 September 2016.

1. Download and fill the yellow sections of the Helsinki university travel bill.
2. Remove the yellow highlight and print.
3. Sign the form.
4. Scan the signed form and all the tickets & bills to PDF.
5. E-mail the scan to Kaisa Torppa with “DWM 2016 travel costs: FIRSTNAME LASTNAME” in the subject field to: kaisa.torppa / et / helsinki.fi cc dmitry.shchigel / et / helsinki.fi
6. Save the original receipts until the payment is done.
